Policy on receiving email
Why we have this policy
Over the recent past the Internet has experienced an unwarranted and prolific
growth in spam, junk email, and attempts to spread viruses through email
messages.
On some days as much as 80% of email we receive falls within this unacceptable
category, which places an unnecessary burden on our manpower, and which
increases
security risks.
It is thus with sadness that we have to introduce the following measures:
The following email messages are automatically rejected
- No email without a subject will be accepted -- i.e. email messages with
blank subjects
- No email with attachments will be accepted
- We automatically reject any email attachments that include *.exe files
- No email with a subject that does not make sense according to our business
function will be accepted
- Large messages are automatically rejected
The above is our first line of defense. The remaining email messages that
make it through will be scrutinized by human readers, but the following procedure
will be implemented
- Human readers will read only the subjects of received email messages and
decide whether they make sense according to our business. If not, the message
will be rejected without opening it
We trust that you understand why we have to take such drastic measures.

Email we will accept
You need not worry that we will reject legitimate emails. If you adhere to
the following, rest assure that your email will be attended to.
- Follow generally acceptable email etiquette
- Don't leave the subject line blank
- Write a meaningful subject line
- Do not send us any attachments
- Avoid using fancy email programs that embed images
If you do this we will attend to your email.

Sending an attachment
If you really need to send an attachment, please follow these steps:
- Email
us in advance
- Please state the nature of the document you wish to send in the body of your
email
message
- We will reply with a reference number
- Include this reference number in
the Subject
of your email to which you can attach the document
(NB: we do not
accept Word documents -- see why)
- We will accept your attachment.
